# Getting started

This system is built on four tools (Airtable, Make, Phantombuster, and Axiom.ai), but you only need to interact with Airtable. The rest of the tools power the backend and you won't need to touch these accounts.

Get started by logging into your Airtable account.

To open up the app interface, click "Dashboard" (the rocketship icon), then click "Run searches"

# Run search

## Start searches

To start searches, click the "+" sign

Then, type in your "search term" and "how many results you want".

Your search term triggers the bot to scrape Google Maps for the same search phrase.&#x20;

You can be quite targeted. Some possible search terms include:

* Cafes in Toronto
* Bars in SE1, London UK
* Gift shops in 10001, USA
* Sustainable grocers near Lake
* Sustainable grocery store near lake simcoe

You should try these searches on Google Maps first directly to ensure you're extracting the type of data you want. Anything you can find on Google Maps is scrapeable. Coverage is global.

"How many search results you want" limits the maximum amount of search results returned.&#x20;

The maximum amount of search results is 200. This is a Google Maps limitation - Maps will not display more than the first 200 results.

To get more than 200 search results, break down the search into smaller categories and do multiple searches. E.g. Instead of 'cafes in Toronto', do 'cafes in Yorkville Toronto', 'cafes in Liberty Village Toronto', etc...&#x20;

To see your search results, click "see previous searches".

Then, use the dropdown menu to find your search.

You can see how many new leads were found from the search, as well as how many of these leads have Instagram accounts.

Not all leads will have Instagram handles.

You can see your search results displayed. Fields include:

* Location name
* Image (from Google Maps)
* Search terms (which search term found these results)
* Category (Google Maps classification)
* IG account (the location's Instagram)
* emailunique (location's email address)
* Address
* Website
* Reviews count (how many people have reviewed the location on Google Maps)
* Total score (rating out of 5)
* Phone number
* Pluscode

If you scroll further down the page, you can also see search statistics, with a more detailed breakdown, like what categories were found overall, average ratings, and more.

## Why are the number of search results different than the number I requested?

Sometimes, if you ask for 50 results, the search may return a smaller amount, like 39 results. And then, of those 39 results, maybe 30 results have Instagram accounts.

Not to worry, this is because the system has removed duplicates.

For example, if you search for grocers, Google Maps may return 5 Wholefoods in different locations. These are duplicates, so the system will not add them to your database. So if you searched for 50 results, and 5 of them are Whole Foods, only 46 results will be added.

Also, if you search for cafes vs. coffee shops, sometimes you will get the same location. If the location is already added in your database, the system will detect this and not add it a second time.


# Connect Instagram accounts

Click "Connect Instagram accounts" to connect your Instagram accounts.

Then click "Connect new Instagram accounts"

Then fill out your details:

* Insta acc ID
  * This is just a name to keep track of your campaign. E.g. Coffee shops campaign 1
* Insta handle
  * Your Instagram handle E.g. daretocarepack. Do not use the @ sign
* Password
  * Your Instagram password
* First DM messaging
  * Insert the link to a **publicly accessible Google Docs**, and type your messaging out directly on the Docs.
  * Paste the link to the docs directly in the field.&#x20;

* First DM picture
  * You can upload a picture to be sent along with your first DM (usually a picture of your product)
* DMs per day
  * You can choose how many DMs you want to send a day from the account. For example, 10 DMs a day means this account will contact 10 different leads per day.
* Followup messaging
  * Upload a separate Google Doc with your followup message. Same process as above.
* Followup DM picture
  * Same as above.
* Followups per day
  * Same as above.
* Auto assign all leads to be sent from this Instagram account
  * This setting allows all new leads found in the search to be automatically assigned to the chosen Instagram account. Useful if you don't want to manually assign leads and/or you are only sending from one Instagram account.

## Turning accounts active

Accounts must be set as "Active" in order for DMs to send.

## Two-factor authentication

Make sure 2FA for Instagram login is turned off. This is required for the bot to work.


# Start campaigns

Click "My campaigns"

This list of leads is who will be contacted by the system. You need to do two things:

1. Filter out leads you don't want to contact
2. Assign leads to be contacted by the right Instagram account

## Filter out leads you don't want to contact

Check the "Remove from campaign" box. This will remove the lead from the campaign.

This does not delete the lead. It simply removes it from the campaign.

This is preferable to deleting the lead. If you delete the lead the system will not be able to detect it as a duplicate if a search finds it again in the future.&#x20;

For example, if you don't want to reach out to Starbucks, by removing it from the campaign, the system will never find Starbucks in the searches again, even if you are searching in another location.

To filter leads en masse, use the filters.

Apply the filter to find the leads you want to filter out. For example, You can set Total score < 4.5 to identify all the leads with under a 4.5 rating.&#x20;

Then, check the "Remove from campaign" box for both of these leads.

To remove multiple leads from the campaign at once, use this trick.

1. Copy the word "checked" (without the quotes) into your clipboard.
2. Select the column header "Remove from campaign" by clicking it
3. Press Ctrl + V to paste (or command + V is you are on Apple).&#x20;

This will remove all the leads in the column at once.

### See manually removed leads

Click the "See manually removed" button to see which leads are removed.

Uncheck the "Remove from campaign" box to bring the lead back into the campaign.

## Assign leads to be contacted by the right Instagram account

Go to the "Sent from Insta account" column, and assign each lead to be contacted by the right Instagram account.

You need to do this before the system will contact these leads.

You can assign leads en masse by clicking the little square box on the bottom right of the cell, and dragging it down the column.

Finally, make sure your "Insta account status" is set to Active, or it will not send.

You can do this either by going to the "Connect Instagram accounts tab", or directly on this page by clicking the "coffee shop campaign" (or equivalent) cell.


# See DMs sent

You can see which DMs have been sent and their date of sending by clicking the DMs sent button.

# Change followup schedule

You can change how many days the leads with no reply until leads are automatically followed up with.

Default is set to 7 days.

Go directly to the raw Airtable data by clicking "Go to Base"

Go to the Leads table, then to the Followup required view, and then change the number in the Green filter to how many days you want followups to send.

# Track replies

You need to manually track replies. To do this, find the lead in the "Track replies" tab in the dropdown menu.&#x20;

Then, check the "Insta replied" checkbox.

You can track import metrics, such as reply rates, replies by category, sales cycles, and more.

Click the "Data tab".
